Everything you put into Tool Tracker stays on your phone, with two exceptions you control: AI receipt reading sends that one photo securely for reading and gets the details straight back, and crew sync (business mode only, off by default) shares the tool list with your crew through our database. Solo users' data never leaves the phone. There are no accounts, no emails and no analytics.
Your tools, prices, dates, brands, stores, notes, photos and settings are saved on your device. Photos are copied into the app's own storage on the phone. Reminders are scheduled locally through iOS notifications. Your data rides along in your iPhone's own iCloud or computer backup like any other app's data, and deleting the app deletes its data. When you choose Send receipt or an export, the app hands the files to iOS and where they go from there is your choice.
When you scan a receipt with Pro while online, the receipt photo is sent to our reading service, which passes it to an AI provider to extract the shop, date and line items, and returns them to your phone. The photo is processed and discarded, not stored, and never used for anything else. A random device identifier (no personal information) counts your monthly allowance. Offline or on the free plan, reading happens entirely on your phone and nothing leaves it.
If a business turns on crew sync, the tool list (names, prices, dates, stores, places, holders and notes, but not photos) is stored in our Firebase database in Europe so the whole crew sees the same list. Each phone signs in anonymously: no email, no password, no name unless a worker types one for the boss to recognise. The join code identifies the crew, and only the people the owner lets in can read its data. Leaving the crew stops the sharing, and the owner can remove anyone at any time. Solo mode never uses any of this.
If you mark a tool as paid in another currency, the app fetches the European Central Bank rate for that date from frankfurter.app, a free public service. Only the two currency codes and the date are sent, never anything about you or the tool.
Tool Tracker Pro and Business purchases are processed by Apple. We use RevenueCat to check whether a purchase is active; this involves an anonymous device identifier and receipt data, never your name, email or contacts. Payment details are handled entirely by Apple and never reach us.
Start fresh in Settings deletes everything on the phone. Leaving a crew stops all sharing. Questions or requests: email [email protected] and we will help.
